Masks Required Indoors
It’s happening soon. We’re almost there….and it’s so exciting!
The HUG Board, HUG National Planning Committee, and HawkSoft Executive Team have regularly met this year to discuss COVID-19 policies for our annual conference in San Diego. Now that we are 5 weeks out from our conference date, we feel we can confidently issue the policies we wish to have in place for the HUG National Conference, October 18-19, 2021, in San Diego at the Town & Country hotel.
To help keep safe the extended families of everyone coming to our conference, we are requiring masks at all indoor spaces and activities, irrespective of your vaccination status. We feel this is the best decision for all attendees in light of the current situation our nation is facing. We ask for your cooperation as we try to ensure we can meet at an in-person event and strive for the safety of everyone’s extended families. HUG and HawkSoft’s stance is to be extra cautious when it comes to the health of loved ones, so we expect all participants to wear a mask indoors. The staff at the Town & Country Resort are also required to wear masks.
While San Diego County does not require masks indoors for vaccinated individuals, HUG and HawkSoft do not want the task of policing or verifying who is vaccinated and who is not. That is your private decision, and one that we respect. Therefore, instead of policing vaccinations, we decided to require masks for everyone irrespective of vaccination status.
If you are currently registered to attend in person:
We are thrilled you are planning to attend in person! If your plans or health situation has changed and you need to attend virtually, you can switch your conference registration from in-person to virtual at no charge. Send your request to Amelia Jach at [email protected]. If, instead, you wish to cancel your registration (no in-person nor virtual attendance) for 2021, please send your refund request to the same email. Full refunds will be given to attendees who cancel at least 30 days before the event. The deadline for a 100% refund is Friday, September 17, 2021. No partial refunds will be given.
If you are currently registered to attend virtually:
If your plans have changed and you would like to attend in person in San Diego, please email [email protected] by September 15 to ensure a printed badge is ready for you! There will be no cost to switch your virtual registration to an in-person registration.
Are presenters required to wear masks during sessions? No. We know it can be difficult to hear and connect with presenters who are masked. Presenters will always maintain at least 6 feet of distance from their audience. If presenters personally choose to wear a mask, we respect and support their decision.
What if I feel ill or unwell once I arrive in San Diego? If you feel ill, we ask that you participate in your breakout sessions virtually from your laptops in your hotel room. We would be happy to make sure meals are delivered to your room (the conference is providing breakfast and lunch on Monday and Tuesday). In addition, we will have some COVID-19 rapid tests available as well as a thermometer if you need to check your temperature.
